This policy explains how J&L Ventures Pty Ltd (ACN 625 214 155, ABN 27 625 214 155) trading as Thea Media ("Thea Media", "we", "our", "us") collects, uses, discloses and protects personal information. It applies to theamedia.com.au and to the services we provide.
We handle personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
1. What we collect
We collect personal information you give us directly, including your name, business name, email address, phone number, and the content of any enquiry, brief or message you send us.
When you visit our website we also collect technical information automatically, including your IP address, browser and device type, pages viewed, referring website and time of visit.
We do not sell products and we do not process payments through this website. We do not collect payment card details through this website.
If you provide us with personal information about another person, such as a colleague or a customer of your business, you confirm you are entitled to do so and that they are aware of this policy.
2. Why we collect it
We use personal information to respond to enquiries, provide and manage our services, send you information you have asked for, issue invoices, improve our website and services, and meet our legal obligations.
We send marketing emails only where you have consented, and every marketing email includes an unsubscribe link. You can opt out at any time and we will action it promptly.
3. Cookies, analytics and advertising
Our website uses cookies and similar technologies to make the site work, to understand how it is used, and to measure our marketing.
This includes Google Analytics 4 and Google Ads (delivered through the Google tag and Google Tag Manager), the Meta pixel, and Klaviyo's onsite tracking. These tools may set cookies that allow us or our advertising partners to measure our marketing and show you relevant ads on other websites.
When you first visit the site you can choose which categories of cookies you accept. You can change your choice at any time through the preferences link on the site, and you can control or block cookies through your browser settings. Blocking some cookies may affect how the site works.
You can also opt out of Google Analytics using Google's browser add-on, and manage ad personalisation in your Google and Meta account settings.
4. Who we share it with

Our team members and contractors, where needed to deliver our services
Service providers that host or support our operations, including website hosting, email, cloud storage, customer relationship and project management tools, email marketing platforms, and analytics and advertising platforms
Our professional advisers, including accountants, insurers and lawyers
Anyone else where you have consented, or where we are required or permitted by law
We do not sell personal information, and we do not trade in personal information.
5. Overseas disclosure
Some of our service providers store or process information outside Australia, primarily in the United States. This includes providers such as Google, Meta, Klaviyo, Slack and ClickUp. Some providers also operate data centres in the European Union, the United Kingdom and Singapore.
Before disclosing personal information to an overseas recipient we take reasonable steps to ensure it will be handled consistently with the Australian Privacy Principles, including by relying on the provider's contractual data protection commitments.
6. Use of artificial intelligence
Thea Media uses AI tools to support the delivery of our services. These include large language models such as Claude (Anthropic) and ChatGPT (OpenAI), as well as image and video generation tools that we continue to evaluate as the technology evolves.
We use these tools to draft and refine written content, summarise documents and notes, develop ideas and structure our thinking, and support research, analysis and strategy.
We do not enter personal information into AI systems. This includes contact details, health records and financial data. Where AI supports work related to your business, we limit inputs to relevant business context only, such as campaign briefs or general brand information.
All AI-assisted content is reviewed and approved by a person before it is used or shared with you. AI does not make decisions about you. No automated system of ours decides anything that could significantly affect a person's rights or interests.
We use paid, business-grade plans for all AI tools, under which your inputs are not used to train AI models.

7. How we keep it secure
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These include access controls, multi-factor authentication on business systems, encrypted connections and keeping our software up to date.
No method of transmission over the internet is completely secure. Where you send us information electronically, you do so at your own risk.
If we become aware of a data breach that is likely to result in serious harm, we will investigate promptly and notify affected individuals and, where required, the Office of the Australian Information Commissioner.
8. How long we keep it
We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as we are required to keep it by law. Financial and client records are generally retained for seven years. When we no longer need information, we destroy or de-identify it.
9. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Email hello@theamedia.com.au.
We will respond within 30 days. We do not charge a fee for making a request. In limited circumstances we may refuse access or correction, and if we do we will explain why in writing.
10. Complaints
If you think we have mishandled your personal information, email hello@theamedia.com.au with the details. We will acknowledge your complaint within 5 business days and respond substantively within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
11. Third party websites
Our website links to websites we do not control. We are not responsible for their privacy practices and we encourage you to read their privacy policies.
12. Changes to this policy
We may update this policy from time to time. The current version is always available at theamedia.com.au/privacy-policy, and we will update the effective date at the top when we make changes. Where a change is significant, we will take reasonable steps to notify you.
